Privacy Policy
Last updated: October 21, 2026
In short: Victor Studio LLC makes ContractorCost Pro, estimating and project management software for contractors. Your company's data belongs to your company. We use it only to run the service for you. We don't sell it, we don't use it for advertising, and we don't run tracking or advertising cookies.
1. Who we are
ContractorCost Pro (the "Service") is provided by Victor Studio LLC, a Missouri limited liability company ("we", "us"). Questions about this policy or your information: contractorcostpro@gmail.com.
This policy covers the ContractorCost Pro website and app. A company that subscribes ("Customer") controls the business information it puts into the Service, including information about its own clients, vendors and employees. We handle that information on the Customer's behalf and under its instructions. If you are a Customer's client, vendor or employee, please contact that company with questions about your information; we will help them answer.
2. Information we collect
Account information
Name, email address and password for each person who signs in (passwords are stored only in a scrambled, one-way form), the person's role and permissions, and the company they belong to.
Company and business information you enter
- Company details: name, address, phone, email, license number, logo, overhead and pricing settings, financial figures you import to calculate overhead.
- Customers, leads and vendors: names, contact details, addresses, notes and documents.
- Estimates, takeoffs, projects, schedules, purchase orders, change orders, billing, job costs and closeout reports.
- Employees and crews: names, trades, pay rates and labor burden, and hours worked.
- Files you upload, such as drawings, documents and attachments.
Time clock and location
If a Customer uses the time clock, we store clock-in and clock-out times. Location is off unless the Customer turns it on. When it is on, the worker's phone location is recorded only at the moment of clocking in and out, only after the worker acknowledges the Customer's notice, and never between punches or off the clock. The Customer is responsible for giving any notice its state requires.
QuickBooks Online information
If an owner or admin connects QuickBooks Online, see section 5.
Technical information
Our hosting providers record basic request information such as IP address, browser type, date and time, and errors, to keep the Service secure and working. We keep a count of AI requests per company to apply usage limits.
Payment information
Subscriptions are sold and billed by our reseller, Paddle.com (see section 4). Card numbers go to Paddle, not to us. We receive your plan, billing status and the name and email on the order.
3. How we use information
- To provide the Service: store, show and calculate your data, and carry out the actions you choose, such as sending an estimate to QuickBooks.
- To keep it secure: sign-in, permissions, detecting abuse, and fixing problems.
- To support you when you ask for help. We look at your company's data only as needed to answer your request, or for security or legal reasons.
- To bill your subscription and send service messages, such as security or billing notices.
- To improve the Service, using counts and error reports, not the content of your records.
We do not sell personal information, share it for cross-context behavioral advertising, or use your business data to train AI models.
4. Service providers we use
We share information only with providers that help us run the Service, only as needed for their part, and under their own privacy and security terms.
| Provider | What it does | What it receives |
|---|---|---|
| Supabase | Database, sign-in and file storage | All Service data, stored in the United States (East US, Ohio region) |
| Vercel | Hosts the website and server functions | Requests passing through, technical logs |
| Intuit (QuickBooks Online) | Accounting connection, if you connect it | What you send to QuickBooks (section 5) |
| Google (Gemini AI) | Reads drawings for AI Import, and other AI features you choose to use | The drawings and text you submit to those features |
| Paddle.com | Reseller and merchant of record for subscriptions | Order, billing and payment details |
| OpenStreetMap | Maps and address lookup | Addresses you look up on a map, and your IP address when map images load |
| Public code libraries (such as jsDelivr and cdnjs) | Deliver standard software libraries to your browser | Your IP address and browser details |
About AI features. AI features run only when you choose to use them. Google's terms for the service level we use decide whether Google may use submitted content to improve its own products. On Google's free level it may; on its paid level it does not. Don't submit drawings or text you aren't permitted to share with a third party. You can use every other part of the Service without AI.
We may also disclose information if required by law, to protect the rights and safety of people or the Service, or as part of a sale or merger of our business, in which case this policy continues to apply.
5. QuickBooks Online data
Connecting QuickBooks is optional and only an owner or admin can do it. Once connected, the Service uses Intuit's official connection to:
- Read customers, vendors, employees, products and services, the chart of accounts, bills and other costs, invoices, credit memos and time records, so you can import them, match them to your jobs and see job costs and billed amounts. Employee Social Security numbers and birth dates are dropped before anything is stored.
- Write only what someone in your company chooses to send: customers, estimates, purchase orders, change orders, invoices from progress billing, and hours.
- Refresh job costs from QuickBooks automatically once a day while connected, so the Costs tab stays current. This only reads.
The keys that let the Service reach your QuickBooks company are encrypted and kept on our server, never in your browser. We use QuickBooks data only to provide these features to you. We don't sell it, share it with anyone other than the providers above, or use it for advertising.
You can disconnect at any time in Settings → QuickBooks, or from within QuickBooks. Disconnecting deletes the stored keys right away. Records already copied into the Service stay in your account until you delete them or close your account.
6. Cookies and browser storage
We don't use advertising or tracking cookies, and we don't run third-party analytics. The app keeps your sign-in session and screen preferences in your browser's own storage, and sets one short-lived cookie while you connect QuickBooks to protect that step.
7. Who can see your data
Each company's data is kept separate by rules in the database itself. Within your company, what each person can see and change depends on the role an owner or admin gives them; pay rates, for example, can be hidden from most roles. Our own access is limited to what section 3 describes.
8. Security
Data travels over encrypted connections (HTTPS). Secret keys stay on our server. Database rules check every request against the person's company and role. No system is perfectly secure; if we learn of a breach that affects your information, we will notify you as the law requires.
9. How long we keep information
We keep a company's data while its account is open. After an account closes, we keep it for 30 days so it can be exported or restored, then delete it. Copies in our providers' backups are overwritten on their regular schedules. We may keep billing records and anything else the law requires for longer.
10. Your choices and rights
- Export: download your company's data any time in Settings → Backup & Export (each person gets what their role lets them see).
- Correct: most information can be corrected directly in the app.
- Delete: email us to close an account and delete its data, or to ask about a specific record.
- Access and other rights: depending on where you live, you may have rights to know, access, correct, delete or limit the use of your personal information, and to appeal our decision. Email us and we will respond within the time the law allows. We will not treat you differently for using these rights.
We may need to confirm your identity first. If your information was entered by a Customer, we may refer your request to that company.
11. Children
The Service is a business tool and is not meant for anyone under 18. We don't knowingly collect information from children.
12. Where data is stored
The Service is run from the United States, and data is stored there.
13. Changes to this policy
If we change this policy, we will update the date at the top. For significant changes, we will tell account owners by email or in the app before the change takes effect.
